MED-Project USA ("MED-Project"), a Washington D.C. non-profit corporation, considers your privacy important. We are committed to protecting the privacy and security of personal information and to transparency about how we use personal information. This MED-Project Public Privacy Policy Disclosure Statement ("Privacy Notice") describes how your personal information is collected, used, and shared when you visit our websites, including med-project.org, and other information systems that link to this Privacy Policy ("Services"). The following disclosures explain our information-gathering and usage practices. This notice does not address our use of personal information outside the context of these Services.

The Services are intended only for residents of the following U.S. states: California, Washington, Oregon, Illinois, Kansas, New York, Maine, Massachusetts, Vermont, and New Hampshire. Users must provide a residential ZIP code before accessing program-specific site functionality. Only users residing in approved jurisdictions are routed to state-specific content and service request forms.

We do not share personal information for targeted advertising or cross-contextual behavioral advertising purposes. We also do not collect or process the kinds of personal information that are regarded as "sensitive personal information" or "sensitive data" under privacy laws.

Personal Information We Collect

We collect only the minimum personal information necessary to fulfill mail-back package requests, operate the Services, maintain security, comply with legal obligations, and administer our programs.

We collect the following categories of information:

  • Name and mailing address (for mail-back requests)
  • Contact information and contents of correspondence
  • Date of request, shipment, and delivery confirmation
  • Shipment tracking numbers
  • Limited clickstream data consisting solely of page clicks, duration, and the date and time of those clicks

We do not collect information regarding the specific medications returned through the mail-back program. We do not open returned packages to identify contents. We do not collect medical records or health condition information.

How We Use Personal Information

We use personal information to:

  • Fulfill mail-back package requests
  • Deliver requested materials through shipping providers
  • Prevent fraud and maintain program integrity
  • Analyze website functionality and improve services
  • Respond to inquiries and correspondence
  • Comply with legal obligations

Personal Information Sharing

We share personal information with shipping providers solely for the purpose of delivering requested mail-back materials. Shipping providers receive name and mailing address information and provide shipment tracking and delivery confirmation. These providers act as service providers and are contractually restricted from using personal information for any other purpose.

We may also share personal information with service providers that perform administrative, technical, or security services on our behalf, and with legal authorities when required by law.

Analytics and Tracking Technologies

We use Google Analytics to collect limited clickstream information. The information shared is restricted to page clicks by the user on the site(s), duration, and the date and time of those clicks. No form content is shared for analytics purposes.

Analytics data is used solely for service analysis, security, and program improvement. We do not use tracking technologies for behavioral advertising.

Data Security

We implement reasonable administrative, technical, and physical safeguards designed to protect personal information. These measures include encryption of data at rest and in transit, role-based access controls limited to the minimum necessary personnel, vendor security reviews prior to engagement, and documented incident response procedures. While we make every reasonable effort to help ensure the integrity and security of our network and systems, you should understand that no data storage system or transmission of data over the internet or any other public network can be guaranteed to be completely secure or free of risk.

Data Breach Notification

In the event of a data breach involving personal information, we will notify affected individuals and relevant regulatory authorities as required by applicable law.

Data Retention

We retain mail-back request records, including name, address, shipment tracking information, and request date, for periods consistent with operational, fraud prevention, and legal compliance needs. Website analytics logs are retained in accordance with Google Analytics configuration settings for up to 14 months. Correspondence is retained as reasonably necessary to respond to inquiries and maintain administrative records.

Children's Privacy

The Services are not directed to individuals under the age of 16. We do not knowingly collect personal information from individuals under 16 years of age. If we discover that we have collected personal information from a visitor under 16, we will promptly delete such information.

Your Privacy Rights

Depending on the law in the state where you reside, you may have rights regarding your personal information, including the right to access, correct, delete, or appeal decisions regarding your personal information.

We endeavor to respond to a verifiable consumer request within 45 days of its receipt. If we require more time (up to 90 days), we will inform you of the reason and extension period in writing.

We will deliver our written response by mail or electronically, at your option.

Only you, or someone legally authorized to act on your behalf, may make a request related to your personal information. We will verify that any requests from persons other than you have your legal authorization. You may also make a request on behalf of your minor child.

Your request must:

  • Provide sufficient information that allows us to reasonably verify you are the person about whom we collected personal information or a legally authorized representative; and
  • Describe your request with sufficient detail that allows us to properly understand, evaluate, and respond to it.

The response we provide explains why we may decline a request when applicable. For data portability requests we will provide your Personal Information in a readily useable format that should allow you to transmit the information to another entity without hindrance.
